How It Works

Four simple steps to an encrypted email

Open the Add-in

When composing a new email, open the Avamboo Encrypt add-in via the add-ins toolbar in Outlook.

Compose Your Email

Write your email as usual – with subject, body, and attachments.

Encrypt & Send

One click on ‘Prepare Encryption’ – Avamboo Encrypt creates a password-protected PDF. Then simply click Send.

Recipient Opens PDF

The recipient opens the encrypted PDF with Adobe Reader and enters the agreed password.

Step by step: How to encrypt and open emails

Encrypting Emails

Launch Add-in

Open a new email window in the new Outlook. Click ‘Add-ins’ in the toolbar and select ‘Avamboo Encrypt’. The Taskpanel appears on the right side of the window.

Compose Email

Write the subject and body as usual. Add attachments if needed.

Full Encryption: ‘Prepare Encryption’

Click ‘Prepare Encryption’ in the Taskpanel and enter the password. Avamboo Encrypt creates a password-protected PDF with the entire email content and all attachments. Subject and body are replaced with encrypted versions. The email is ready to send – click Send.

Encrypt PDF Attachments Only (Pro)

Click ‘Encrypt PDF Attachments Only’. Subject and email body remain unchanged. Only the PDF attachments are individually encrypted and replace the original files. Then click Send.

Opening an Encrypted Email

Receive Email with PDF Attachment

The recipient receives an email with an encrypted PDF file as attachment. The password is communicated via a separate channel.

Enter Password

When opening the PDF in Adobe Acrobat Reader, a password prompt appears. Enter the agreed password – the document is decrypted.

Access Attachments

All original attachments are accessible via the paperclip icon in the left sidebar of Adobe Reader.

Note: Retrieve Original Email

If the ‘Embed original email’ option was enabled, you’ll find the original email as an .eml file in the attachment panel of the PDF (paperclip icon). Clicking it opens the file directly in Outlook. Move it to your inbox to use it like a regular email.

Frequently Asked Questions

Which Outlook versions are supported?

Avamboo Encrypt for Outlook (New) works in the new Outlook for Windows and in Outlook on the Web (Microsoft 365). For classic Outlook, there is a separate version: Avamboo Encrypt for Outlook (Classic).

Does the recipient need special software?

No. The recipient only needs the free Adobe Acrobat Reader to open the encrypted PDF. Acrobat Reader is available for Windows, Mac, Linux, iOS, and Android. No registration required.

How secure is the encryption?

Avamboo Encrypt uses AES-256-bit encryption – the same standard used by banks, government agencies, and the military. A brute-force attack on AES-256 is considered practically impossible.

Are attachments also encrypted?

With full encryption, all attachments are embedded together with the email text in the encrypted PDF. With ‘Encrypt PDF Attachments Only’, only the PDF attachments are individually encrypted (Pro feature).

Why don’t I see the ‘Encrypt PDF Attachments Only’ button?

This feature is exclusively available to Pro users. Additionally, the button only appears when all email attachments are in PDF format. As soon as an attachment has a different format (e.g., .docx, .xlsx), the option is hidden.

Do I need to set a password for the password manager?

Yes. To save recipient passwords in the password manager, you need to set up a personal user key once. This key protects your stored passwords – even Avamboo has no access to them. Without this key, passwords cannot be saved. The password used must be communicated to the recipient separately.

How long does encryption take?

Encryption happens entirely on your device – your data never leaves your computer unencrypted. Depending on the size of attachments, preparation may take a few seconds to a few minutes. Avamboo Encrypt shows you an estimated remaining time.

Can I roll out the add-in tenant-wide for all users in my organization?

Currently, a centralized tenant-wide rollout via the Microsoft 365 Admin Center is not possible. Each user must add the add-in themselves once via the Microsoft AppSource. We are working on enabling a centralized rollout in future versions. For Enterprise deployments, please contact us.

Is Avamboo Encrypt GDPR compliant?

Yes. AES-256 encryption meets GDPR requirements for the secure transmission of personal data via email. You receive verifiable encryption for your compliance documentation.

What is the difference between Free and Pro?

The Free version allows up to 2 encrypted emails per day and 30 per month. With Pro you get 50 emails/day and 1,000 emails/month, plus the ‘Encrypt PDF Attachments Only’ feature and the shared password database for teams.
